This Policy explains what data Payvoice collects, why we need it, how long we keep it and what you can do about it. It is written for the way the product actually works — an invoicing tool where you enter your own details and your clients' details.
P 1 · Two kinds of data
Your data. Data about you as the account holder: email, authentication data, company details, logo, payment instructions, subscription status.
Your clients' data. Names, emails, addresses and tax identifiers you enter into the client directory and into documents. For this data you are the controller and we act on your instructions as the processor — we never use it for our own purposes and never contact your clients on our own initiative.
P 2 · What we collect
- Account: email, password hash or Google account identifier, sign-in timestamps.
- Profile: company or personal name, address, tax number, bank or payment details, logo, invoice numbering preferences, interface language.
- Documents: invoices, acts, timesheets and reports with their line items, amounts, currencies, dates and notes.
- Client directory: the client records you create.
- Delivery and status events: when a document was sent, opened via a public link, marked paid, or a reminder was issued.
- Technical data: IP address, browser and device type, error diagnostics and basic usage counters.
We do not collect biometric data, we do not build advertising profiles, and we do not sell data to anyone.
P 3 · Why we use it
- to create your account and let you sign in securely;
- to generate PDF documents and serve the public pages you share;
- to send documents and payment reminders to the recipients you choose;
- to show payment status and dashboard figures;
- to process subscription payments and issue refunds;
- to keep the Service secure and to debug failures;
- to answer your support requests.
P 4 · Legal grounds
We process data to perform our contract with you (the Terms of Use), to comply with accounting and tax obligations that apply to us, on the basis of our legitimate interest in keeping the Service safe and working, and — where required — on your consent, which you can withdraw at any time.
P 5 · Who else sees the data
Only the providers we need to run the Service:
- cloud hosting and managed database for storing your account, documents and files;
- an email delivery provider to send documents, reminders and account emails;
- a payment provider to charge your subscription (we never receive or store your full card number);
- Google, only if you choose Google sign-in.
Providers act under contract, may only process data for the purpose we specify, and may involve cross-border transfers with appropriate safeguards. We disclose data to authorities only where the law obliges us to.
P 6 · Public document pages
When you share a document, the page shows what you put on it — your details, your client's details and the amounts. Please keep that in mind before sharing a link publicly.
Opening the page records a “viewed” event so you can see that your client received it. We do not track your client across other websites.
P 7 · Retention
- account, profile, documents and client records — while your account exists;
- after account deletion — removed from active systems promptly and from backups within 30 days;
- billing records — for as long as accounting rules require us to keep them;
- technical logs — a short period, normally up to 90 days.
P 8 · Security
Traffic is encrypted in transit. Data is stored on managed infrastructure with access restricted by row-level rules so one account cannot read another's records. Passwords are stored hashed. Public links use long random tokens. No system is perfectly secure, so please use a strong, unique password.
P 9 · Your rights
You may request access to your data, correction, deletion, a copy in a portable form, restriction of processing, or object to processing based on legitimate interest. Most of this you can do yourself in the settings; for the rest, write to support@payvoice.me from your account email. We reply within 30 days.
P 10 · Children
The Service is not intended for anyone under 18 and we do not knowingly collect their data.
P 11 · Changes
We publish the current version on this page and announce material changes by email or in the app before they take effect.
